What do I get after every call?

After every call, Heyline emails you a recap and files the same call in your log. You get an outcome badge — Booked, Answered, Message or Missed — a two-line summary in her own words, the number the caller rang from, any intake answers she collected, and the transcript.

The badge is what you read at a glance. Booked means the job is on your calendar. Message means she wrote down a name, a number and what the caller wanted. Answered means she handled the question and nobody is waiting on you. Missed means the caller hung up before she could help.

There are two copies and they say the same thing. The email is for the phone in your pocket between jobs. The log is for the evening, when you want to scroll the day back. A call still running shows as In progress until she says goodbye.

Transcripts, summaries, outcomes and notifications are on every plan. What changes is the audio and how far back the log goes.

What's inside the recap email?

One email per call, stacked in the order you'd want to read it.

  • The outcome, before you read a word

    Booked, Answered, Message or Missed sits at the top. On a day with eleven calls in it, that alone tells you which three need you and which eight don't.

  • Two lines, in her words

    A short summary of what the caller wanted and what she did about it, written from the call that actually happened rather than from a template. A vague call reads vague, so you know to open the transcript.

  • The booking, or the message

    A booked call carries the day, time, caller name, callback number and the job. A message carries the name, the number and what they said. Both carry the intake answers she collected before she finished.

Which plan keeps recordings, and for how long?

Transcripts, summaries and outcomes come with every plan. Audio and history length are the two things that move. The full plan detail lives on pricing.

Where do I find an old call?

The call log is the whole ledger, newest first. Filter it to All, Booked, Messages or Missed, then open one call to read the summary, the transcript, the appointment she booked or the message she took. One caller's whole history — calls, messages, bookings — sits on your Contacts page, one row per person.

Every message she takes also opens a call-back to-do, and that row links straight back to the call while it's still inside your history window. Test calls you make in the browser land in the same log, tagged as test calls, so the receptionist you tried is the one you can audit.

The dashboard home counts the week for you: calls, bookings made, minutes used, and the revenue caught — bookings multiplied by an average job value you set. The typical shop books 42% of its inbound calls (ServiceTitan platform data, 3,000+ US and Canadian trade shops, 2022). Your log gives you your own number instead of somebody's benchmark.

What the recap never does

She emails you. She never texts you, and she never sends the caller anything afterward — no confirmation text, no follow-up email, no call back.

The summary is built from the call itself. She answers only from the notes you gave her, so nothing lands in the write-up that nobody said, and no price appears that isn't on your price sheet.

There is no audio on Starter. On Growth and Scale you switch recording on or off for each business, and every greeting tells the caller she's an AI and that the call may be recorded — a line that can't be edited out. More on recording controls and disclosure.

Frequently asked questions

Are calls recorded?

Not on Starter — there is no audio there at all. Growth records and keeps it for 30 days. Scale keeps it for as long as you choose, up to 365 days. Recording is a switch you control for each business, and every greeting tells the caller the call may be recorded.

How long is call history kept?

Starter keeps 30 days. On Growth and Scale you set the window yourself, anywhere up to 365 days. History means the calls, summaries, transcripts and outcomes in your log, and those come with every plan whether or not recording is switched on for that business.

Can I listen to a call?

Yes, on Growth and Scale, for as long as the audio is inside your window — 30 days on Growth, up to 365 days on Scale. Starter has no audio, so there is nothing to play. You still get her summary and the full transcript of every call on every plan.

What's in the recap email?

The outcome badge, the number the caller rang from, a two-line summary, and the transcript. If she booked the job, the day, time, name and job come with it. If she took a message, you get the message and the intake answers. Audio comes with Growth and Scale.
