How does Heyline book into my Google Calendar?
She checks when you're already busy, offers two or three real openings inside your bookable hours, takes the caller's name and callback number, then writes the appointment into your own Google Calendar and reads the day, time, name and number back before the call ends. The only times she offers are the ones your calendar says are open.
Connecting takes one button and two Google permissions — calendar.freebusy and calendar.events.owned — so she books into your calendar and checks when you're busy. That is Google-verified Calendar access (2026-08-27), and it is the same two permissions on every plan.
Appointments show up natively in the calendar you already open on your phone. There is no Heyline calendar to learn, no second place to check, and nothing to copy across at the end of the day. If you want the detail behind the permissions, it's in our privacy policy.
What happens on the call, in order?
Every booking follows the same five moves. She doesn't improvise them.
She looks before she offers
She reads your calendar for the day the caller asked about. Busy blocks are out, and so is anything less than an hour from now.
She offers two or three times
Not every opening you have — two or three real ones inside your bookable hours, spaced by your buffer, in your business's own timezone.
She confirms who's booking
Name first, then the callback number. If the caller ID is usable she asks whether that number is the best one, instead of making them dictate it.
She writes the event
It lands in your Google Calendar titled with the service, the caller's name and their number — one hour long, unless you set a different default.
She reads it back
Day, time, name and callback number, every time. A caller who corrects a digit gets it fixed before the call ends.

What she never does with your calendar
She never offers a busy time. She checks the day first, then speaks. She also never books sooner than one hour out, so you're not ambushed by a job you can't reach.
She never books past 14 days. A caller asking for next month is told the limit and the last date she can book — not put on hold while she scans further out.
She never takes a deposit or card details to hold a slot. Payment is between you and the customer.
She never guesses when the link is down. If your calendar comes unlinked mid-call she stops offering times and takes a message instead, and your dashboard shows a reconnect banner.
Why does booking on the call beat calling back?
A caller who hangs up without a time is a caller deciding between you and the next name on the list. The typical shop books 42% of its inbound calls (ServiceTitan platform data, 3,000+ US and Canadian trade shops, 2022), and shops with fewer than five technicians book 24%. For a shop with 5 to 14 technicians, every five-point improvement in booking rate is worth about $100,000 a year (ServiceTitan, 2022).
That's why calendar booking sits on Starter, Growth and Scale rather than behind an upgrade. The higher plans add minutes, call recording, longer history and more businesses — not a better calendar.

Frequently asked questions
Which calendars do you support?
Google Calendar, and only Google Calendar. There is no Outlook, iCloud, Calendly or field-service software connection, and none is promised. If your shop runs on something else, Heyline still answers, still takes messages and still emails you the recap — she just won't write the appointment into your schedule for you.
How far ahead can callers book?
Fourteen days, and no sooner than one hour from now. A caller asking for a date beyond two weeks is told the limit and the last day she can book, rather than being promised something she can't deliver. The one-hour floor keeps you from being booked while you're still driving.
Can she double-book me?
She reads your calendar for that day before she names a single time, so a busy block is never offered. Your buffer, 15 minutes by default, keeps two jobs from touching. If the calendar link drops mid-call she stops offering times altogether and takes a message instead of guessing.
Can she book for more than one person or calendar?
No. One receptionist books into one connected Google Calendar — a single schedule, not a team of technicians each with their own calendar. She offers openings from that one calendar and writes every appointment into it; there are no seats, roles or dispatch boards here. Does she know my timezone?
Yes. Every business carries its own timezone, and that clock is hers. 'Are you open right now?' and every slot she offers are answered in your local time, whatever zone the caller is dialing from. The Settings picker covers 14 United States and Canada zones. Recap emails name the zone too.
